Summer Educator Academy 2015: Forms and Additional Details

Room Arrangements

To accommodate as many participants as possible, your participant(s) will have a shared room. We advise that you try to room them with someone from your local; otherwise they will be assigned a roommate. A few single rooms are available by request at an additional cost of $70/night, as indicated on the registration site.

Travel Notes

  • When completing your Travel Reservation Request Form, use the same name that appears on your driver’s license or other legal documents.
  • Your flights or train tickets will be booked by the AFT travel agents using the information provided on your travel request form. Please return the form as soon as possible—but no later than the June 5 deadline—to ensure your flights can be booked promptly.
  • Please include a current, personal email address for the traveler on the request form as all tickets—air and train—are electronic and will be sent to each participant via email.
  • Air: Tickets are electronic. An itinerary and passenger receipt will be sent to the registrant via email. The itinerary should be reviewed upon receipt; if it is not correct, please contact the AFT immediately. (If you are not the registrant, please make sure the registrant receives this document in a timely manner.)
  • Train: Amtrak train tickets will be sent via email. The train stops at the BWI Rail Station.
  • Ground Transportation: At BWI, you can locate a cab for the short ride to the Maritime Institute (approximate cost: $12) or you can call for the Maritime Shuttle Service at 410-859-5700.
  • Driving: Participants who live nearby are encouraged to drive. (Please note this on your travel form.) If your trip requires a night’s lodging, the AFT cannot pay the cost of the hotel. If the mileage costs (57.5 cents per mile) exceed the cost of the lowest airfare available, the AFT can only reimburse you the amount of the airfare.

Personal Considerations

  • Meals: The AFT will provide breakfast, lunch and dinner each day beginning with dinner on the day of arrival and concluding with lunch on July 24 (unless flight schedules require you to depart on July 25). The AFT’s reimbursement policy does not allow us to reimburse the cost of meals purchased off campus during the Summer Academy (see Reimbursement Guidelines).
  • Dress: Informal (jeans, sneakers, etc.).
  • Climate: Hot and humid; however, rooms may be chilly, so bring a sweater.
  • Supplies: Participants should bring their own basic supplies (such as highlighters, Post-it notes, spiral notebooks, etc.).
  • Internet Access: The Maritime Institute offers high-speed Internet connections in guest rooms at no charge. Use this connection at your own risk. The AFT will not be responsible for the loss of data or any damage to your computer. The AFT will have several computers available for participants to check email before and after class or during breaks.
