DUTIES AND RESPONSIBILITIES:
The incumbent is administrative assistant to an associate director and an assistant director responsible for the Educational Research & Dissemination (ER&D) institutes, ER&D Network conferences, the Adolescent Literacy Cadre, several professional development courses and various AFT initiatives. The administrative assistant is lead support for the summer and winter ER&D institutes, National Trainer Academy and primary support for the reading module to the ER&D program. Duties and responsibilities include:
- Assist with research projects on educational policy using the Internet and other databases and library resources.
- Proofread, edit and format correspondence, reports and manuals.
- Monitor project budgets and process invoices and orders for manuals.
- Take notes at meetings and transcribe documents from handwritten notes or tape recorded material.
- Maintain inventory of supplies for institutes.
- Respond to requests for information, handle department mail and maintain files.
- Schedule meetings, conferences and training sessions.
- Maintain supervisors' calendars and make travel arrangements.
- Handle meeting logistics and process meeting expenses.
- Answer and screen telephone calls and serve as back-up for other department staff telephones.
- Other duties as assigned.
- Participate in supportive role assignments under the direction of the human resources department.
QUALIFICATIONS:
- Knowledge of standard office equipment and computer proficiency in PowerPoint and Excel to design brochures, flyers, forms and produce slides and spreadsheets (or willingness to train on standard AFT software).
- Ability to work independently and prioritize work between demanding assignments and deadlines.
- Excellent oral, written, verbal and proofreading skills.
- Ability to perform advanced math calculations.
- Overtime and local travel required during work cycle for conferences.
- Familiarity with unions and/or non-profit associations is preferred.
